Primary Responsibility
1 Administration• Support Dean and Heads of study program/departments in all their administrative works• Prepare the documents for lecturers (attendance & BAP)• Recapitulation of attendance of lecturers including part time lecturers• Transcript distribution • Submit recapitulated student attendance to ISS cc ASC & Head of Departments• Submit monthly teaching hour of part time lecturers to HRD• Prepare beamer request form, unit of subject delivered, stationary request, etc• Taking note and create minutes of meeting• Making and drafting letters (surat tugas, proposal etc)• Making and drafting reports• Prepare and follow up BRRF• Organizing and managing meetings and events• Handle registration on seminars and trainings• Document archiving• Screening phone call and managing schedule calendar• Working closely with other related departments ie RO, HR, GA, FM, Finance & ISS and others• Helping study program/departments & faculty in accreditation 2 Schedule• Update students weekly regarding lecturers scheduled• Update students and lecturers about schedules and any related changes• Inform student about any scheduled changes• Prepare schedules for OFSE, Thesis Defense, Internship presentation or other activities as needed 3 Faculty and Study Program/Department Activities• Support in all faculty activities• Maintain stationary stocks every month –request to GA• Mail, file and maintain documents 4 Others• Order snack or meals for meeting and other event s• Draft even report• Other tasks assigned by the dean and heads of study program/departments 5 For specific job description of Master Program• Weekly order for snack and meals for master students• Collect score from the lecturers• Serve/give information to student candidates• Draft transcript• Follow up prospective students through phone calls, emails etc• Maintain the relationship with alumni and alumni place of work

• Age minimum 25 years old• Candidate must possess at least a Bachelor's Degree• Minimum 3 years experience in similar position• Good Administration skills• Ability to multi-task, handle tight deadlines and work in a fast-paced environment• Ability to maintain communication (phone, fax, email), organize documents, files & other records• Fluent in English (oral and written) is a must• Manage compilation of daily, monthly reports and some projects• Special Skill : Computer – Linux, Ms Office• Team working is a must especially in dealing with higher management team;• Honest, discipline, self motivated, hardworking and strong leadership• Willing to work under pressure, self starter, meet tight deadlines, energetic and personal drive to success• Has the spirit and understanding of the culture of higher education/university (a person coming from the same field would be preferable)• Able to start immediately
