Primary Responsibility
- Review invoices, reports, memos, letters, financial statements and other documents, using Ms Word / Google Docs, Ms Excel / Google Spreadsheet, database and/or presentation software
- Responsible for applications of and managing of permits and legal government documents, such as import license, Building permit and BPJS
- Basic company and personal tax filing
- Oversee and improve office’s administrative procedures
- Coordinate and direct overall office services, such as budget preparation, housekeeping, ordering supplies, and maintaining office equipment
- Business email management, scheduling and calendaring
- Develop and maintain contact lists, agendas, meeting scheduling
- Store, maintain, and retrieve corporate files, records, and reports
- Open, sort, and distribute any incoming mails to appropriate individuals
- Meet with individuals, special interest groups and others on behalf of director
- Organize business travel planning and coordination including reservations (car, airline, hotel) and itinerary planning
- General Errands (shopping, generating ideas for gifts, research & sourcing gifts, packaging & sending gifts, etc.?)
- Basic personal bookkeeping
- Perform additional tasks as they arise
Qualification
Qualification
- Diploma or Bachelor Degree in Professional Secretary, Management, Legal or Accounting would be preferred
- Minimum 3 years’ work experience as Secretary or Head of Administration
- Required Skills: MS Office and Google Drive
- Ability to read, write, and speak Bahasa Indonesia and English is a must
- Ability to read, write, and speak Mandarin is a plus
- Attention to detail
- Prioritize conflicting needs; handles matters expeditiously, proactively, and follows through on matters to successful completion, often with deadline pressure
- Ability to self-manage and communicate proactively on open tasks
- Possess a level of energy, decorum and discretion that is second to none
- Experience in managing and organizing documents and schedules
- Strong written and verbal communication skills
- Excellent organizational and time management skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, strong capacity to collect data and exercising good judgement in various situations
