Primary Responsibility
Develop corporate plans for a variety of HR matters such as compensation, benefits, health and safety etc.
Act to support the human factor in the company by devising strategies for performance evaluation, staffing, training and development etc.
Oversee all HR initiatives, systems and tactics
Supervise the work of HR personnel and provide guidance and feedback to promote efficiency
Serve as the point of contact for employment relations and communicate with labor unions
Monitor program operations and people to ensure adherence to internal policies and legal standards
Deal with grievances and violations and invoke disciplinary action when required
Anticipate and resolve issues that could be litigation risks
Develop and implement HR strategies and initiatives aligned with the overall strategy
Map role criteria, define position description and document specifications
Track and identify prospective candidates using a variety of channels
Assess candidates to ensure qualification match, cultural fit and compatibility
Conduct confidential interviews, follow-up references and check credits
Present shortlisted candidates and provide detailed profile summaries
Respond to internal and external HR related enquiries or requests and provide
Support current and future activities needs through the development, engagement, motivation and preservation of human capital
Develop and monitor overall HR strategies, systems, tactics and procedures across the OFFICE or PROJECT organization
Bridge management and employee relations by addressing demands, grievances or other issues
Nurture a positive working environment
Manage the recruitment and selection process
Oversee and manage a performance appraisal system that drives high performance
Maintain pay plan and benefits program
Assess training needs to apply and monitor training programs
Report to management, Keep records and documentation and prepare appropriate reports and provide decision support through HR metrics
Ensure legal compliance
Develop effective job coaching and employment plans
Communicate with the team to understand their goals and ambitions
Assist individuals to discover and overcome their personal barriers and set goals
Assess the strengths of individuals and teach them to use them effectively
Guide each Divisions in learning to complete job tasks
Help in the development of motivation and skills of individual and team
Assist people with disabilities in developing social and life skills
Monitor and evaluate progress of Artalenta’s
Oversee all staffing needs and operations of the company
Liaise with recruiting agencies to fill vacancies in a timely manner
Support candidate screening and hiring processes
Facilitate procedures after hiring regarding employee relocation, legal documents etc.
Assist in preparation and execution of orientation and training plans
Assist with day to day operations of the HR functions and duties
Provide clerical and administrative support to Human Resources executives
Compile and update employee records (hard and soft copies)
Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
Coordinate HR projects (meetings, training, surveys etc) and take minutes
Deal with employee requests regarding human resources issues, rules, and regulations
Redirect HR related calls or distribute correspondence to the appropriate person of the team
Maintain records of personnel-related data (personal information, data, etc.) in both paper and the database and ensure all employment requirements are met
Liaise with Studio Department, Administration Department, Site Department ( with Logistic )
Liaise with Finance Department, Legal Department, and Commissioner with Director
Support the recruitment/hiring process by greeting candidates, performing checks, assisting in shortlisting, issuing employment contracts etc.
Assist Director in performance management procedures
Schedule meetings, interviews, HR events etc. and maintain the team’s agenda
Perform orientations, on boarding and update records with new hires
Produce and submit reports on general HR activity
Support other functions as assigned
Communicate with public services when necessary
Properly handle complaints and grievance procedures
Conduct initial orientation to newly hired employees
Executive Assisstant Responsibilities :
Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc., manage diary and schedule meetings and appointments
Attend meetings, Take dictation and keep minutes
Receive and screen phone calls and redirect them when appropriate and distribute correspondence
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
Make travel arrangements for executives
Handle confidential documents ensuring they remain secure, Devise and maintain office filing system
Prepare invoices or financial statements and provide assistance in bookkeeping
Monitor office supplies and negotiate terms with suppliers to ensure the most cost effective orders
Handle requests and queries appropriately
Produce reports, presentations and briefs
Maintain electronic and paper records ensuring information is organized and easily accessible
Conduct research and prepare presentations or reports as assigned
Ensure the smooth and adequate flow of information within the company to facilitate other business operations
Manage schedules and deadlines
Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
Monitor costs and expenses to assist in budget preparation
Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
Organize and supervise other office activities (recycling, renovations, event planning etc.)
Ensure operations adhere to policies and regulations
Keep abreast with all organizational changes and business developments
Qualification
Qualification
Candidate must possess at least a Bachelor's Degree, Master's Degree/ Post Graduate
Degree, Psychology, Law, Human Resource Management or equivalent.
At least 3 year(s) of working experience in the same field.
Required skill(s) : Recruitment & Selection, Government & Employee Relations,
Compensation and benefit, Training & Development, Excellent organizational and time-management skills, In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry MS Office and SUPERB English proficiency, and basic research methods and reporting techniques
Ability to multitask and prioritise daily workload, integrity, discretion and confidentiality
Excellent verbal and written communications skills
Up-to-date with latest office gadgets and applications
Preferably Manager specializing in HR or executive asst.
Applicants must be willing to be interviewed and work in Bali, Indonesia
