Primary Responsibility
Facility & HSE Management
Manage office& Warehouse’ facility, including fixture/furniture.
Liaise with Building Management to support daily operation such as electricity, M&E, water, AC, lift and other building facility
Ensure proper reception area in office/Warehouse and facility policy implemented smoothly.
Lead General Insurance Renewal process
Lead HSE Audit and Process and training
Fleet Management
Liaise with car rental Car-Rental Vendor on Renewal, New Fleet and Driver Performance.
Coordinate with HR and Finance and stakeholder on Employee/Assignee’s Car Facility arrangement.
Manage Taxi Facility/Voucher and provide report and improvement;
Petty-Cash Management
Control petty cash for daily operation and report usage and balance to Finance/Accounting Dept.
Assets Management
In-charge for Asset Management, Tagging & Recording process.
Lead in Assets Disposal
Planning, Controlling, and Reporting
Support Head of HRGS in GS planning and controlling the GS budget
Provide regular reports as required
People Management
Lead team of GS staff/3rd party/outsourced-personnel.
Review performance of GS staff/3rd party/outsourced-personnel.
Prepare and do calculation overtime of GS staff/3rd party/outsourced-personnel.
Vendor/Customer Management
Develop and maintain good relationship with vendor/3rd party and ‘internal-customer’.
Travel Management
Ensure Travel Policy executed efficiently and cost-effectively, including screening travel request/reimbursement in MyOffice and execute booking and/or purchase of air ticket, accommodation, transportation, and maintain corporate rate hotel.
Coordinate with bookers/staff/travelers and provide workable initial solution on any travel challenge.
Mobility Management
Lead mobility process
Liaise with consultant/vendor, govt./.authorities, applicants, Regional HQ/Japan Team
Interact with government authorities, in terms of office operation, such as immigration, police, manpower office, etc, through third party (agent) and process documents such as expatriate working permit (RPTKA), visa application, immigration book, police book, DPKK, SKTTS, SKPPS, STM and invitation letters for visa processing for incoming traveler
Coordinate with HR/Finance/IT/Legal and stakeholders on Assignee’s facility, including accommodation, car, etc.

Education Background:
- Diploma or Bachelor Degree
Working Experience:
- At least 4 years experiences as General Affairs in multinational company;
- Experience in Facility Management
- Knowledge in Mobility/Visa Management
- Experience in managing team of support functions such as OB, Receptionist, Driver.
- Experience in planning & controlling
Skills:
Computer literate, ERP & SAP
Good English and Communication skills
Proactive, team-work and can work independently
Matured and have eyed-for-details.
Have sense of urgency
